AI agent for optical stores: optometry appointments booked on WhatsApp

Connect Softix and your Met books, reschedules and cancels optometry appointments at the right location, with the slots that are genuinely free and without going through the front desk.

How does an AI agent book optometry appointments on WhatsApp?

Meteor connects to Softix, the clinical scheduling platform for optical stores. On that connection, an AI agent asks for the patient’s ID, looks the patient up and registers them only if they do not exist; it asks for the location, the date and the time of day, and offers the slots that are genuinely free. Those slots do not come from a list written into the chat: they are calculated by crossing the appointments already booked in Softix with the opening hours and the optometrists your store configured for each location. The Met confirms date, time, location and appointment type in one message, books when the patient says yes and keeps the appointment ID to move or cancel it later in the same chat. It does not access clinical records or exam results, and it does not charge or invoice the visit.

The challenge

Is your front desk spending the day booking by phone?

These are the bottlenecks costing your optical stores operation the most sales and time.

With Meteor

Each location’s calendar, open on WhatsApp at any hour

Connect Softix and your Met books, reschedules and cancels optometry appointments at the right location, with the slots that are genuinely free and without going through the front desk.

Before and after

From the same old bottlenecks to a real advantage

Appointments are requested by phone, during the hours someone can answer.

The Met books inside the chat at any hour, with the slots still free.

Slots quoted from memory and two patients in the same one.

Availability is calculated by crossing the booked calendar with the location’s hours.

Patients registered twice because nobody searched first.

It searches by ID before creating, and only registers who does not exist.

Moving or cancelling an appointment means calling the location.

Cancelling and rescheduling happen in the same chat, on the saved appointment.

The solution

How Meteor automates your optical stores operation

Genuinely free slots, per location

Availability is calculated by crossing Softix’s booked calendar with the slot length, the opening hours and the optometrists at that location. It never offers past times or slots less than thirty minutes away.

The right patient, no duplicates

It searches by ID before creating anything. If the patient does not exist, it asks for the minimum details (ID, first names, last names and mobile number) and registers them.

The appointment with the optometrist who was free

It books with the optometrist who had that slot open, so the appointment lands on their calendar and not a generic one.

Cancel and reschedule in the same chat

The patient writes that they cannot make it and the Met cancels or moves the appointment, checking first that the new slot is free.

Several locations from one line

Availability, booking and changes all take the location, and each location is configured with its own hours and professionals.

Reminder and handover to the front desk

The CRM schedules the reminder per contact and, outside the WhatsApp window, sends it as an approved template. When the case needs a person, the conversation goes to the front desk with its summary.

Integrations

The systems your optical stores operation already runs

The store’s calendar lives in Softix. The Met reads and writes it from the chat, and the CRM keeps the conversation with the patient.

Each spec sheet lists the tools the connector really exposes, the credential you need and what it does NOT do. They are published in Spanish. See the full catalog .

FAQ

Questions about Meteor in optical stores

Yes, with your Softix account’s username and password. Each location is also configured once: slot length, opening hours per day and its optometrists. Without that there are no free slots to calculate, because Softix exposes the booked calendar and not the opening hours.

From crossing two things: the appointments already booked in Softix and the opening hours your store declares per location and per optometrist. A slot shows up when at least one of those professionals is free.

Yes, but it searches by ID first. Registering a patient who already exists splits their calendar from their record, so the search always comes before the creation.

No. The integration covers scheduling and patients: slots, appointments and contact details. Clinical records stay out.

Yes. The Met keeps each appointment’s ID when it books, and uses it to cancel or move it to another date, time or location, checking first that the new slot is free.
