AI agent for vehicle rental: availability and reservations on WhatsApp

Connect HQ Rental Software and your Met answers at any hour whether there are cars for the dates and location requested, offers the extras you actually sell and creates the reservation when the customer confirms.

What does an AI agent do for a vehicle rental company?

Meteor connects your WhatsApp to HQ Rental Software, the platform where your fleet and your reservations already live. On that connection, an AI agent answers at any hour and in the language the customer writes in: it checks whether HQ Rental reports cars available for the dates and locations requested, reads the real extras on your account (insurance, GPS, child seat, additional driver), repeats the summary and creates the reservation only when the person confirms it. The reservation is made for a customer who already exists in HQ Rental, with the class, price and currency your operation preconfigured, because HQ’s availability lookup does not publish those fields and the Met does not infer them. Your team gets the daily manifest: pickups, returns and fleet status. What it does not do is charge, cancel or modify an existing reservation, create customers in HQ Rental or sign the rental agreement.

The challenge

Losing bookings because nobody answers in time?

These are the bottlenecks costing your vehicle rental operation the most sales and time.

With Meteor

Availability, extras and the reservation in one conversation

Connect HQ Rental Software and your Met answers at any hour whether there are cars for the dates and location requested, offers the extras you actually sell and creates the reservation when the customer confirms.

Before and after

From the same old bottlenecks to a real advantage

Every inquiry means opening the reservation platform and checking dates.

The Met checks HQ Rental by dates and location and answers with what HQ reports.

Late-night inquiries go unanswered and the traveler books elsewhere.

Answers at any hour and in the language the customer writes in.

Extras are offered from memory, and sometimes not offered at all.

They come from your account’s real charge list and land on the reservation.

The morning starts with someone assembling pickups and returns by hand.

The daily manifest brings pickups, returns and fleet status.

The solution

How Meteor automates your vehicle rental operation

Real availability by dates and location

The Met checks HQ Rental for cars matching the pickup and return the customer asks for, in your operation’s time zone, and never offers anything HQ did not report.

The extras you actually sell

Insurance, GPS, child seat or additional driver come from your account’s real charge list, not from a list written into the chat, and they end up on the reservation.

The reservation, created after the yes

It repeats dates, locations, class, price, extras and customer, and creates the reservation only when the person confirms that summary. Before answering, it opens the new reservation to check it.

Answers at any hour, in their language

It replies in the language the customer writes in and leaves every conversation in the CRM with its tags, internal notes and owner.

The daily manifest

Today’s pickups, returns and fleet status, which is what organizes the morning.

When a vehicle comes back

By filtering open reservations it shows scheduled returns so your team can review the fleet, without turning that reading into a promise of availability.

Integrations

The systems your vehicle rental operation already runs

The fleet and the reservations live in HQ Rental; the conversation lives in Meteor. These are the pieces the Met uses to join the two, each keeping its own source of truth.

Each spec sheet lists the tools the connector really exposes, the credential you need and what it does NOT do. They are published in Spanish. See the full catalog .

The limits

What Meteor does NOT do in vehicle rental

We would rather say it here than have you find out during implementation.

FAQ

Questions about Meteor in vehicle rental

Yes. It connects with your company token, your user token and your account’s server region, all found in HQ Rental’s settings. With that the Met reads availability, vehicles, reservations, customers, extras and the daily manifest, and creates reservations for existing customers.

It creates it, for an existing customer and with the class and price your operation already verified. It first confirms dates, locations, extras and customer, and creates the reservation only when the person says yes to that summary. What it does not do is charge for it.

No. The connector’s tools read and create. Cancelling or modifying an existing reservation is done in HQ Rental.

The Met does not create them, because the connector does not create or update customers. It keeps the conversation details in the CRM and hands the case to your team, who create the customer in HQ Rental; until then, no reservation is created.

Yes. The availability lookup takes the location, and the reservation is created with its pickup and return locations.

HQ Rental does not charge through the connector. If you connect Wompi or Mercado Pago, the Met sends the payment link and checks the transaction by its number, but that payment is not written to the HQ Rental reservation: your team reconciles it.
