Log the WhatsApp lead in Pipedrive and schedule its follow up
An AI agent logs whoever writes on WhatsApp in Pipedrive without duplicates, opens the lead, leaves the conversation note and schedules the follow up.
How do I get every person who writes on WhatsApp into Pipedrive without the rep copying them by hand?
A Met connected to Pipedrive asks the person for their name and email, looks them up in your account and only creates them as a contact if they do not exist. Then it checks whether they already have an open lead, so it does not open another, and if not it opens one with what they said. At the end it leaves a note with the conversation summary and schedules the follow up activity, such as a call, on the agreed date. The rep opens Pipedrive and finds the person with their context, not a loose name. Everything is recorded under the account that authorized the connection.
What starts it
When the customer writes
It starts when a prospect writes on WhatsApp asking about your products or services. There is no trigger to set up: the Met assigned to the sales line handles it inside that conversation.
Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.
Who runs it
Met that receives and qualifies prospects
Sales team
It is the Met that answers the sales line. Its work ends when the prospect is in Pipedrive only once, with their lead, the note of what they asked for and the next action scheduled for the rep.

6 steps · 6 tools
The procedure, step by step
Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.
- 1
Look the person up before creating them
The Met asks for the name and email and searches Pipedrive to see whether that contact already exists. Pipedrive allows duplicates, so this search is what keeps the same person from showing up twice.
- 2
Create the contact only if it does not exist
If the search returns nobody, the Met creates the contact with the name, email and WhatsApp phone. If it already existed, it uses that same contact for everything that follows.
- 3
Check whether they already have an open lead
Before opening another, the Met searches for leads linked to that person. If one is open, it works on that one; that way the rep does not get two entries for the same conversation.
- 4
Open the lead with what they said
If there is no open lead, the Met creates one linked to the contact, with a title that says what the person is looking for. It leaves it in the leads inbox for your team to qualify or convert.
- 5
Leave the conversation note
The Met adds a note to the lead with the summary: what they asked for, by when, what budget they mentioned and which questions are still open. The rep does not have to read the whole chat to start.
- 6
Schedule the follow up with a date
If the person asked for a call or they agreed on a date, the Met creates the activity in Pipedrive with that date and type, linked to the lead, so it shows up in the rep's calendar.
Before you start
What you need ready
The Met solves none of these for you. If one is missing, the automation stops there.
-
The Pipedrive ready connector
In Met, under Connections → Pipedrive → Connect, you sign in to Pipedrive with a user who sees your team's contacts and leads, and approve the permissions.
-
The create actions turned on
The workspace admin checks that addperson, addlead, addnote and addactivity stay on. The search ones are reads and are enough to know whether the person already exists.
-
A WhatsApp line with the Met assigned
You connect your WhatsApp Business API line in Met and assign the sales Met. Pipedrive remains where the rep works the lead.
The limits
What this automation does NOT solve
Better said here than discovered halfway through the rollout.
-
It does not qualify for you with Pipedrive rules. The Met logs and summarizes; if you want a score or a qualification criterion, it goes in its instructions, not in Pipedrive.
-
It does not ask anyone for confirmation before creating the contact or the lead. If the actions are on, the Met uses them; if you want review, leave them off.
-
It does not assign reps in rotation. Activities stay with the authorizing account or whoever its instructions say; automatic distribution goes another way.
-
It does not delete or merge duplicates that already existed. Pipedrive's MCP has no delete or merge tools.
FAQ
Questions about this automation
The search finds them and the Met uses that contact. If they have an open lead, it adds the note and the activity there instead of opening another.
Pipedrive's MCP has that tool, but this automation leaves the lead for your team to qualify. If you want the Met to convert it, it is added as a step in its instructions.
The Pipedrive account that authorized the connection. That is why it is best to connect with a sales team user and not a personal one.
Pipedrive limits MCP usage with tokens according to your plan. If you handle a lot of volume, check in your account how many you have left.
