Update a HubSpot deal from WhatsApp without opening the CRM
Your sales rep tells an AI agent on WhatsApp how the meeting went, and the agent finds the deal in HubSpot and moves its stage.
How do I update a HubSpot deal from WhatsApp without opening the CRM after every visit?
The sales rep walks out of a visit and texts their Met on WhatsApp "the downtown hardware store accepted the proposal, move it to closed won". The Met checks that the HubSpot connection is still active, finds the company and its contact, locates the open deal with them and tells the rep which one it will change and to which stage. When the rep confirms, it changes the deal's stage or properties, such as the amount or the close date. The connector does not look up pipelines or their stages, so the value of each stage has to be written in the Met's instructions: if it is not, the Met does not guess.
What starts it
When someone asks for it
It starts when a sales rep texts the Met on WhatsApp how it went with a customer or what changed in a deal. Each update is on request and goes through the rep's confirmation.
A manual task: someone on the team runs it with a button, or asks the Met for it in chat.
Who runs it
Internal sales team Met with HubSpot
Sales team
This is not a named, seeded Met. It is an internal Met with HubSpot connected, for sales reps who work in the field: it is done when the deal sits in the stage and with the details the rep confirmed.

The procedure, step by step
Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.
- 1
Check that HubSpot answers
The Met checks that the workspace's stored token still opens the HubSpot CRM. If it does not, it tells the rep instead of leaving a half-done update.
- 2
Find the company
The Met searches for the company by the name the rep gave and opens it with its properties. If there are two similar companies, it asks which one before going on.
- 3
Confirm who the rep spoke with
If the rep names the person they spoke with, the Met finds them among the contacts and opens their record, so the deal that changes belongs to that relationship and not another one at the same company.
- 4
Locate the open deal
The Met searches that company's deals and shows the rep the one it will change, with its current stage. If several are open, it asks the rep to pick one.
- 5
Change the stage with their confirmation
When the rep confirms, the Met changes the deal's stage or properties, such as the amount or the close date. Without that confirmation the tool does not write, and the stage comes from the values the admin wrote in the Met's instructions.
Before you start
What you need ready
The Met solves none of these for you. If one is missing, the automation stops there.
-
A HubSpot private app token
It is created in your HubSpot portal as a private app, with CRM read and write permissions on contacts, companies and deals.
-
Paste it in Connections
In Meteor, in Connections, you open HubSpot CRM and paste the token once. Meteor stores it encrypted and never asks for it in the chat.
-
The stages written in the Met's instructions
The admin writes the internal value of each stage of your pipeline in the Met's instructions, because the connector has no tool that looks them up.
The limits
What this automation does NOT solve
Better said here than discovered halfway through the rollout.
-
It does not look up pipelines or their stages: if a stage's value is not in the Met's instructions, it cannot move the deal to that stage.
-
It does not write notes, tasks or meetings in HubSpot. It covers contacts, companies and deals.
-
It does not create new properties in your portal: it writes to the ones that already exist, custom ones included.
-
It does not delete deals, contacts or companies: none of its tools removes a record.
-
It does not create the deal if it does not exist: this procedure updates an open one. To log a new one there is the WhatsApp leads in HubSpot procedure.
FAQ
Questions about this automation
No. Changing a deal requires the confirmation flag, and the Met sets it when the rep approves the change it showed them.
Because the connector does not list pipelines or their stages. To move a deal, the stage value has to be known in advance, and the simplest way is to leave it in the Met's instructions.
Yes, if they are deal properties in your portal. The Met changes the stage or the properties you point to on a deal that already exists.
No. The token is pasted once per workspace in Connections, and the Met works with that HubSpot private app's permissions.
