Move a quote request from WhatsApp into an Asana project

An AI agent gathers what a prospect needs on WhatsApp, creates the quote task in Asana for the right sales rep and tells them how it is going.

How do I turn a quote request that arrives on WhatsApp into an Asana task for my sales rep?

A Met connected to Asana talks with the prospect until it has what your team needs to quote: which product or service, quantity, city and date. It finds the quotes project, checks whether that person already has an open request and, if not, creates the task in the intake section, assigned to the matching rep and with a reply date. It leaves the conversation summarized in a comment so the rep does not have to ask again. When the prospect writes again, the Met opens the task and tells them whether the quote is ready or who has it.

What starts it

When the customer writes

It starts when a prospect writes on WhatsApp to ask for a quote or to ask about one they already requested. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Sales Met that qualifies quote requests

Sales team

This is not a named, seeded Met. It is the Met that answers the sales WhatsApp, with Asana connected. Its work ends when the request is an Asana task with its rep, its date and the full context, and the prospect knows who will help them.

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

    Find the quotes project

The Met searches Asana for the project your team named in the skill and opens it with its sections, to know which one new requests go into. If the workspace has several similar projects, it uses the ID that was configured.

  2. 2

Check whether a request is already open

Before creating, the Met lists the project's tasks and looks for an open one with the prospect's company name or phone number. If one exists, it works on that one and does not duplicate the rep's work.

  3. 3

    Find the right sales rep

Following the skill's rule, by city or by product line, the Met takes the rep's email and looks it up in Asana to get their ID. Assigning with a real ID avoids tasks with no owner.

  4. 4

    Create the quote task

The Met creates the task in the intake section with a clear title, a description of what the prospect needs, the assigned rep and the reply date your team sets. Asana creates it immediately, with no review step.

  5. 5

Leave the conversation in a comment

The Met adds a comment summarizing the conversation: need, quantities, city, deadline and how they prefer to be contacted. The rep arrives at the call knowing what the prospect already said.

  6. 6

Say how it is going when the prospect asks

When the person writes again, the Met opens the task, reads whether it is complete, who owns it and the latest comment, and tells them whether the quote is out or when to expect it.

FAQ

Questions about this automation

Yes. The assignment rule goes in the skill, by city, by product or by rotation, and the Met looks up the right rep in Asana before assigning the task.

Not in this procedure: they stay as an Asana task with their details. If you also run a CRM, it combines with that CRM's integration in the same Met.

The next time the prospect asks, the Met sees the task is complete and tells them. If the rep left a comment with the quote, the Met can tell them what it says.

Not for this procedure. It uses tools that work on any plan and leaves out the advanced search Asana reserves for Premium.
