Book, remind and reschedule appointments over WhatsApp

How an AI agent books appointments over WhatsApp against your real open slots, sends the reminder ahead of time and lets people reschedule without calling anyone.

How do I let customers book over WhatsApp without double-booking anyone?

The Met on the channel lists your bookable services with their duration and price, reads the slots that are genuinely open between the dates the customer asks for, and creates the booking on the exact slot the person picked. Scheduling is native to Meteor: there is no third-party tool to connect and no credentials to request. The reminder ahead of the appointment is scheduled through the CRM with a Meta-approved template, and cancelling or rescheduling happens in the same conversation, with nobody calling another number.

What starts it

When the customer writes

It starts when somebody asks for an appointment, a slot or a quote that ends in a site visit. The Met on the channel resolves it inside the conversation, and there is no automation to configure.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Met for customer service and scheduling

Customer service team

It has no seeded name in the product: it is the same Met that already answers your channel, with scheduling turned on. Booking is where that conversation was heading anyway.

5 steps · 10 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

Say what can be booked, and how long it takes

The list of bookable services returns each one with its identifier, duration, price and format. It is the first call and it is not a formality: without it the Met would have to guess how long an appointment blocks, and a wrong duration is the most common way two bookings end up on top of each other.

  2. 2

Offer only the times that exist

The slot query returns real availability between two dates, with everything already booked subtracted. The Met offers two or three concrete options instead of asking when works best, which is the question that stretches the conversation and lands on a time that was never free.

  3. 3

Book the exact slot the customer picked

The booking is created with the service identifier and the start time copied literally from the chosen slot, not with an hour rewritten by hand. That is where time zone errors get in. The appointment is tied to the contact in the conversation, and whatever the customer shared is stored on their record for next time.

  4. 4

Remind them before it slips their mind

Scheduling does not send reminders on its own: the CRM does. The Met schedules it for the night before or a few hours ahead, and at that time the system sends the approved WhatsApp template. That is the difference between a full calendar and a calendar full of no-shows.

  5. 5

Let people reschedule and cancel without calling

The customer writes that Thursday no longer works, and the Met lists their upcoming bookings, confirms which one it is and moves it to another open slot or cancels it with a reason. Making this easy sounds counterproductive and it is the opposite: a rescheduled appointment is recovered, a no-show is lost outright.

FAQ

Questions about this automation

No. Scheduling is native and runs on the tables of your own workspace, with no external credentials. Cal.com is still available as an integration for teams that already run on it and do not want to move their operation.

Slots are read at the moment of offering and the booking is created against the exact slot. The second attempt on that space finds no availability, and the Met offers the closest alternative.

Yes, because the reminder goes out as a Meta-approved template, which is the only kind of message allowed outside the 24 hour window. Without an approved template that reminder simply cannot be sent.

Yes. Each service can carry its own resource or practitioner, and the booking is assigned accordingly; if none is specified, it takes whoever is available.
