Answer a job's status on WhatsApp with ClickUp

An AI agent tells the customer on WhatsApp how their job is going by reading the ClickUp task, and records on the task whatever new they asked for.

How do I answer on WhatsApp how a customer's job is going without opening ClickUp every time?

A Met connected to ClickUp searches for the customer's task by their name or the job number, opens it and reads the status, the due date and the team's latest comment. It answers with that in plain words. If the person asks for a change, the Met leaves it as a comment on the task and, if it is urgent, posts a heads up in the ClickUp chat channel your team uses. It works for agencies, workshops, print shops or any business that runs its jobs in ClickUp. Each check uses calls from your ClickUp plan's daily cap.

What starts it

When the customer writes

It starts when a customer writes on WhatsApp to ask how their order is going, request a change or send a file for their job. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Support Met with jobs in ClickUp

Customer service team

This is not a named, seeded Met. It is the Met that already answers the business's WhatsApp, with ClickUp connected. Its work ends when the customer knows how their job is going and whatever new they asked for is written on the task.

5 steps · 6 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

    Find the customer's task

The Met searches the ClickUp workspace with the customer's name or the job number the person gives. If several tasks come up, it asks which one by the job's name, instead of answering about the wrong one.

  2. 2

Read the status and the due date

The Met opens the task and reads the status, the due date and who owns it. If your team uses internal statuses such as "in art review", the Met translates them into what the customer understands, following the skill.

  3. 3

Check what the team said last

The Met reads the task's comments to see whether something is missing from the customer, such as an approval or a file. That way the answer is not just a status: it tells the person what they need to do for the job to move forward.

  4. 4

Record the requested change on the task

If the customer asks for a change, the Met leaves a comment on the task with the request, in their words, and the date they asked. The team works with the request written on the task, without hunting for it in the chat.

  5. 5

Alert the team when it is urgent

If the customer needs the job sooner or reports a mistake, the Met finds the ClickUp chat channel the skill names and posts a message with the task link and a summary, so someone sees it right away.

FAQ

Questions about this automation

No. The Met reads them to know what is missing and answers with what is meant for the customer. The skill should say which kinds of comments are never repeated outside.

Search returns every matching task. The Met asks the person which one they want to know about, using the job's name, before answering.

Usually two or three: search, open the task and read the comments. With 100 calls a day on the free plan, the cap covers only a few conversations.

This procedure does not: none of its tools returns a public download link. The final file goes through the channel your team already uses.
