Record a WhatsApp lead in your apps with Zapier

An AI agent takes each WhatsApp lead to the app you already use through Zapier: it checks whether they already exist and creates them, with no new connector.

How do I move the prospects who reach me on WhatsApp into my CRM or spreadsheet without copying them?

A Met connected to Zapier takes the details a prospect gave on WhatsApp and records them in the app your company already connected in Zapier, such as a CRM, a spreadsheet or an email tool. First it confirms that account is connected, finds the right action and checks which fields it needs. Then it looks for the person to avoid duplicates and, if they are new, creates them. Each successful run uses two tasks from your Zapier plan. If the app is not connected yet, the Met returns the configuration link so your team can do it.

What starts it

When the customer writes

It starts when a person writes on WhatsApp interested in a product or service and the Met already has their name and contact detail. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Prospect qualification Met

Sales team

This is not a named, seeded Met. It is the Met that already answers the sales WhatsApp, with Zapier connected. Its work ends when the prospect is recorded once in the app your team uses, with the details they gave.

5 steps · 7 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

Confirm the destination app is connected

The Met checks the accounts your company connected in Zapier and verifies the app where prospects go is there. If it is not, it does not try another one: it returns the server configuration link so someone on your team connects that account in Zapier.

  2. 2

Find the action that creates the record

The Met searches Zapier actions for the one that creates a contact, a lead or a row in that app. If several look alike, it picks the one your team named in the Met's instructions and not the one that sounds most general.

  3. 3

Check which fields the action needs

Before running it, the Met checks the action's required fields and compares them with what the person gave in the chat. If one is missing, such as the email or city, it asks for it instead of leaving it empty or making it up.

  4. 4

Check whether the person already exists

If the app has a search action, the Met runs it with the email or phone. When the person is already recorded, it does not create them again and only tells your team they wrote back.

  5. 5

Enable the action and create the record

If the action was not yet enabled on the Zapier server, the Met enables it. It then runs it with the confirmed details and keeps what Zapier returned, such as the new record ID, to answer if someone asks later.

The Met solves none of these for you. If one is missing, the automation stops there.

FAQ

Questions about this automation

Two for each successful call to an action. If the Met searches first and then creates, that is two actions and four tasks. Failed calls use no tasks.

Yes, if your CRM has actions in Zapier and is connected in your account. The Met uses the Zapier action instead of a Meteor connector.

You do. The Met only sees the accounts you connected in Zapier, and in Met the admin turns each connector tool on or off.

No. A Zap runs on its own when an event happens; here the Met runs the action when the conversation calls for it. You can have both at the same time.
