Digital concierge for hotels: what it can answer alone and what needs a person

Can an AI agent look after hotel guests over WhatsApp?

It can, and the limit is set by where the data comes from. A digital concierge answers availability, rates and conditions when it looks them up in the hotel's reservation system, deals with requests during the stay, and hands the case to the front desk when an exception shows up. What it cannot do is confirm a room the system does not have free, apply a rate that does not exist or close a folio: that lives in the same system that holds the booking, and the agent queries it instead of improvising.

A hotel rarely loses a booking on price. It loses it because somebody asked whether there was a room for the weekend and the answer arrived three hours later, by which time that person had already booked somewhere else.

That is the concrete job of a digital concierge: answering at the moment people ask, with what the hotel’s system actually says.

What it can answer without asking anyone

Availability, rates, what each plan includes, check-in and check-out times, how to get there, what is nearby. These are closed questions, they repeat every day, and the answer already exists somewhere in the hotel.

The difference between a digital concierge and an automated message is where that answer comes from. In the LobbyPMS recipe the agent queries bookings, room status and folio against the hotel’s own system. If the room is not free there, there is no way for it to be offered.

The stay, not just the booking

The conversation does not end when the guest arrives. Asking for towels, checking how late breakfast runs, seeing what has been charged so far, requesting the bill before coming down: all of that goes through the front desk today, and the front desk is the same person checking somebody else in.

An agent that takes those questions replaces nobody. It frees the desk for the in-person part, which is the part guests rate afterwards.

What it must not do

Confirm what the system does not have free. Invent a rate. Promise an upgrade. Close a folio. Four different things with the same shape: decisions that live in the PMS and in hotel policy, not in the conversation.

Complaints always go to a person
