How to quote and track shipments on WhatsApp with an agent: which rate it returns, which status it answers and what still depends on the carrier.

How do you answer "where is my order" on WhatsApp without checking the tracking by hand?

The agent looks the tracking number up in the carrier's system and answers with the information that carrier publishes, at the moment people ask. The same goes for the rate: it quotes against the courier using origin, destination, weight and dimensions rather than estimating. What it cannot do is change a delivery date, resolve an incident or commit on the carrier's behalf: if a shipment is held, it says so and hands the case over; what it does not know, it does not guess.

“Where is my order?” is, in almost any business that ships, the question that arrives most and adds least when a person answers it. The answer already exists: it is in the carrier’s system. All that is missing is somebody going to fetch it every time.

The lookup, not the estimate

The difference between a useful agent and one that creates work is whether it checks or guesses. “It usually arrives in two or three days” is not an answer: it is an expectation somebody will have to hold up later.

Same with the rate. In the TCC quote the price comes from the courier using real origin, destination, weight and dimensions. Quoting from memory is the fastest way to sell a shipment at a loss.

Shipping cost stops purchases at the end

It is worth moving the quote before the sale rather than after. When the cost only appears at the last step, the purchase falls over there, and in chat it falls silently: the person simply stops replying.

When the shipment goes wrong

A held parcel, a mistyped address, a refused delivery. None of the three is settled in the conversation, and all three have their own process with the carrier.

What the agent can do is recognise it early and hand the case over with the tracking number, the last status and what the customer already said. The support Met does that handover without anybody having to repeat themselves.

“No update yet” is the correct answer

When the carrier has not published a movement, there is no movement. Filling that gap with a reassuring sentence works once; the second time, the customer stops believing the answer and goes back to writing to a person, which is exactly what this was meant to avoid.
