Receive a warranty claim with a Jotform form on WhatsApp

An AI agent shares your Jotform warranty form on WhatsApp, confirms the response arrived and summarizes the claims for your team.

How do I receive a warranty claim on WhatsApp with photos and complete details, without asking one by one?

A Met connected to Jotform finds your warranty form and shares the link with the customer in the same WhatsApp conversation, so they attach the invoice, the photos and the description in one place. It then checks the form's recent submissions, finds that person's response and confirms what they recorded. If they prefer email, the Met assigns the form to their address. At the end of the week, your team asks the Met for a summary of the claims with their most repeated reasons.

What starts it

When the customer writes

It starts when a customer writes on WhatsApp to claim the warranty on a product they bought. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

After sales support Met

Customer service team

This is not a named, seeded Met. It is the Met that already answers the company's WhatsApp, with Jotform connected. Its work ends when the claim is complete in Jotform and the customer knows it arrived.

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

    Find the warranty form

The Met searches your Jotform account for the form your team named for warranties, by its title. If there are old versions with similar names, it uses the one in the Met's instructions and not the first one that shows up.

  2. 2

Share the link in the conversation

The Met opens the form to get its link and shares it with the customer on WhatsApp, with a line about what to have ready: the invoice, photos of the damage and the purchase date. The person fills it in on Jotform.

  3. 3

    Check the response arrived

When the customer says they sent it, the Met checks that day's form submissions, sorted from newest to oldest, and looks for the one with their name or email. If it does not find it, it says so instead of treating it as received.

  4. 4

Confirm the details with the customer

The Met opens that response and confirms to the customer the product, purchase date and reason they recorded. If something does not match what they said in the chat, it points it out so they fix it in Jotform.

  5. 5

Invite by email if they cannot open it

If the person cannot open the link on their phone, the Met assigns the form to their email with a personalized invitation. Jotform sends that invitation; on WhatsApp the link is still enough.

  6. 6

    Summarize the week's claims

From the internal chat, your team asks the Met for a summary of the week's claims. It analyzes the form submissions and returns how many arrived, the most repeated reasons and the products with the most cases.

Questions about this automation

Because a warranty claim needs several details and attachments at once. In the form they stay complete and in order in a single record, instead of spread over twenty messages.

It checks the form's recent submissions and looks for the name or email the person gave in the chat. If it is not there, it asks them to confirm which details they used.

No. It shows the reasons and products that repeat the most; each claim is reviewed in Jotform with its full response.

Your company, under its Jotform plan. Jotform does not charge extra for the MCP server and Met does not charge Energy for these calls.
