Create a Todoist task for every order that arrives on WhatsApp and answer its status

An AI agent turns every WhatsApp order into a Todoist task with a due date and assignee, and tells the customer how it is going.

How do I get every order I receive on WhatsApp into Todoist as a task without copying it by hand?

A Met connected to Todoist takes the order a customer places on WhatsApp and turns it into a task in the project your team uses, in the right section, with the agreed due date and the assignee. What the customer said goes into the description and, if they add a detail later, it goes in as a comment on the same task. When the customer asks again how their order is going, the Met finds the task, reads the team's comments and replies with them. Your team keeps working in Todoist as usual: the Met does not complete, delete or reschedule tasks.

What starts it

When the customer writes

It starts when a customer writes on WhatsApp to place an order or to ask how an earlier one is going. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Customer service team

This is not a named, seeded Met. It is the Met that already answers the business's WhatsApp, with Todoist connected. Its work ends when the order is a task with an assignee, or when the customer gets the status your team wrote in Todoist.

6 steps · 7 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

    Find the orders project

The Met searches by name for the project your team named in the skill, for example "Orders", and keeps its ID. The name should not repeat across the account's projects.

  2. 2

    Pick the right section

If the project is split into sections, such as "New", "In production" and "Ready", the Met finds the section where new orders go so it creates the task there.

  3. 3

    Find the person in charge

The Met searches by name or email for the team member who handles that kind of order and gets their ID. It can only assign someone who collaborates on the Todoist project.

  4. 4

    Create the order task

The Met creates the task with a short, recognizable name, a description with what the customer asked for and their phone number, the agreed due date in natural language, the priority and the assignee. It confirms to the customer that the order was logged.

  5. 5

    Add details that arrive later

If the customer sends one more detail, such as a measurement, a color or a new address, the Met leaves it as a comment on the task and can notify the project's collaborators so they see it.

  6. 6

Answer how the order is going

When the customer asks about their order, the Met finds the task by the order text or the customer's name, reads the comments the team left and replies with what they say. If there is no written update, it says so instead of making up progress.

FAQ

Questions about this automation

The Met cannot assign them the task: Todoist only accepts assignees who collaborate on the project. Invite them to the project in Todoist and the next task reaches them.

No. The customer only talks to the Met on WhatsApp; the task, the comments and the assignees stay inside your company's Todoist account.

Yes. The Met finds the sections that already exist in the project and can add labels to the task. Whatever does not exist in Todoist, the Met does not make up: your team creates it.

This procedure uses the Todoist account and plan your company already has. Meteor does not resell Todoist, and what your plan allows, such as activity history, is set by Todoist.
