Book Calendly meetings over WhatsApp

An AI agent offers your Calendly open times on WhatsApp and books the meeting, or sends a single use link if your plan does not allow it.

How do I let a customer book a Calendly meeting over WhatsApp without sending my general link?

A Met connected to Calendly identifies your account, picks the event type that matches what the person asks for and checks its open times on the dates that work for them. It offers those times in the chat and, with the one they choose, books the meeting with their name and email. If your Calendly plan does not allow booking through the API, or you prefer the person to choose in Calendly, the Met sends a single use link instead of your general link. At the end it finds the booked meeting and confirms the date, time and video call link with what Calendly saved.

What starts it

When the customer writes

It starts when someone writes on WhatsApp asking for a meeting, a demo or a consultation. There is no trigger to set up: the Met assigned to the line handles it inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Sales scheduling Met

Customer service team

It is the Met that answers the WhatsApp line and has Calendly connected. Its work ends when the meeting exists in Calendly, at a time Calendly returned as open, and the person has the date and the link in writing.

6 steps · 7 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

Identify the account and the event type

The Met reads the Calendly user who authorized the connection and lists their event types. It picks the one that matches what the person asks for, for example a thirty minute demo, according to its instructions.

  2. 2

Read which details that event asks for

The Met opens the event type to see its length, the meeting location and the questions set up, so it asks the person for those details in the chat before booking.

  3. 3

Offer only times Calendly returns as open

With the dates that work for the person, the Met checks the available times of the event type and offers them exactly as returned. Calendly already removes your busy blocks, so the Met does not suggest times from memory.

  4. 4

Book the meeting at the chosen time

With the chosen time, name and email, the Met books the meeting on behalf of the person. This step needs a paid Calendly plan and the booking action being on.

  5. 5

Send a single use link if it cannot book

If your plan does not allow booking through the API, or the person prefers to choose on their own, the Met creates a single use scheduling link for that event type and sends it. The link stops working after the first booking.

  6. 6

    Confirm with what Calendly saved

The Met finds the meeting in the list of booked events and replies with the date, time and location or video call link Calendly recorded, not with what was said in the chat.

FAQ

Questions about this automation

For the Met to book inside the chat, yes. On the free plan the Met sends a single use link and the person picks the time in Calendly.

Because it is used once and then stops working. That way your general link does not keep circulating in chats and each person books only the meeting you offered.

Yes, if their event type is in the Calendly organization you connected. The Met lists the event types and picks the one its instructions point to.

Calendly returns times with their zone. The Met shows them to the person in the zone its instructions set, so there is no confusion between countries.
