What does a WhatsApp CRM need so sales and support can follow up for real?

A WhatsApp CRM needs to attach each conversation to a contact, retain the data the team needs, record notes and assign an owner before the case goes cold. Chat does not replace CRM: it is the channel through which the context sales and service need arrives, so a conversation can continue without starting from zero.

WhatsApp can be the best channel to start a sale and the worst place to leave it living. When context exists only in a conversation, follow-up depends on somebody remembering to find it, copy it and explain it to another person. A WhatsApp CRM exists so that work does not depend on memory.

The contact is the center, not the chat

Lists of the best WhatsApp CRMs rank products without knowing your operation. It is more useful to bring five questions to every demo and answer them with the tool open:

  1. Does it look up before creating? If it spawns a new contact with every message, you will end up with the same person three times and history in none of them.
  2. Are the fields yours? Location, budget, product of interest and stage differ by business. A universal template forces the information into loose notes.
  3. Can several people work the same number? With shared history and assignment, not just access.
  4. Is ownership recorded? A contact with no owner is a contact nobody follows up.
  5. Can it query where the answer lives? If a customer asks about their order and the CRM cannot reach the system that knows, the rep is still copying data between screens.

About the free WhatsApp CRM

It is the most common search in this category and it deserves a direct answer rather than a dodge.

What tends to be free is the conversation layer. What the channel charges is not, and it does not depend on the CRM: Meta bills for every template you send, and replies inside the twenty four hour window pay no template.
