University admissions and support: what an AI agent can safely answer

What an AI agent answers in university admissions and support: programmes, requirements and deadlines from the official source, and what stays with the office.

Which admissions questions can an AI agent answer without getting them wrong?

The ones with a single verifiable answer: which programmes exist, what the requirements are, how long enrolment stays open, which documents are needed and where an application stands. The agent answers them by querying the source the institution declares official, not a copy. What it cannot do is promise a place, reveal an admission decision that has not been made or interpret an academic exception: those have an owner and a procedure, and the agent hands the case over with the facts already gathered.

In an admissions office almost every question that arrives is one of the same five, and they all arrive together in the three weeks of the enrolment period. They are not hard questions: they are repeated questions competing for the time of people who also have to review documents.

The questions that do have a single answer

Which programmes exist, how long they take, what the requirements are, when the deadline is, which documents to upload, where my application stands. All of them have one verifiable answer in some system the institution already runs.

That word “verifiable” is the condition, not decoration. In the programmes and enrolment lookup the data comes from the official source. If the agent answers from a document somebody copied a year ago, the problem is not that it will be wrong: it is that nobody will notice it was.

The ones that do not

A place. An admission outcome that has not been released. A credit transfer. An exception for an individual situation. All four look like the previous ones in the shape of the question and look nothing like them in consequences: an answer given by an automated system reads as a commitment from the institution.

The support Met hands those cases over with what has already been said, so the person who decides does not start from zero.

The other side: academic support

The same applies internally. Knowing who has not handed in an assignment is a lookup against the system where submissions already live, not a report somebody assembles by hand on Fridays. Same principle, different repeated question.

Switch it on before the peak, not during

The most common calendar mistake is setting this up in the week the volume arrives. An agent that reaches the enrolment period already tuned, with the institution’s real questions and its limits declared, is a different thing from one that debuts with the queue already forming.

The education solution has the order: first what gets answered, then where each fact comes from, and finally what gets handed over and to whom.

Questions on this topic

It goes to a person. A question about a place, a credit transfer or an individual situation has no single answer, and giving one reads as a commitment from the institution.

It is useful all year, but the peak is the period. The advantage of having it earlier is that it reaches the peak already tuned, instead of being switched on the week the volume arrives.

From whichever source the institution declares official. If a programme changed its length or its requirements and the source does not reflect that, the agent will answer what the source says.
