Send a customer the summary of a meeting recorded with Fireflies on WhatsApp

An AI agent finds the meeting with your customer in Fireflies, replies on WhatsApp with what was agreed and shares the transcript by email.

How do I send a customer on WhatsApp what we agreed in the meeting Fireflies recorded?

A Met connected to Fireflies, when the customer writes on WhatsApp asking for what was agreed, asks for the email they joined the meeting with and searches Fireflies for the meeting where that email appears as a participant. It reads the summary and replies with the action items and next steps. If the customer wants the details, the Met shares the transcript with that same email, with an expiry, and leaves the meeting in that customer's channel so your team finds it. Meeting search is experimental in Fireflies, so first confirm your account has it.

What starts it

When the customer writes

It starts when a customer writes on WhatsApp asking for the summary or the commitments of a meeting they had with your team. There is no trigger to configure: the Met assigned to the line runs the procedure inside that conversation.

Nothing to set up. The Met assigned to that channel picks up the conversation and runs the procedure inside it.

Who runs it

Support Met that follows up on meetings

Customer service team

This is not a named, seeded Met. It is the Met that already answers the business's WhatsApp, with Fireflies connected. Its work ends when the customer gets what was agreed in the meeting and, if they asked, access to the transcript in their email.

6 steps · 6 tools

The procedure, step by step

Each step shows the tool that runs. They belong to the real connector: if one of them stopped existing, this page would not build.

  1. 1

    Confirm the customer's email

The Met asks the customer for the email they joined the meeting with and looks it up in the Fireflies contact list, which has the date of the last meeting with each one. If the email is not there, it stops and says someone on the team will reply.

  2. 2

    Find the meeting

The Met searches Fireflies for the meetings where that email appears as a participant, from the date the customer gave. This search is experimental in Fireflies; if your account does not have it, the procedure stops here.

  3. 3

    Reply with what was agreed

The Met reads the meeting summary, with action items, topics and keywords, and replies to the customer on WhatsApp with the commitments and next steps, without pasting the whole transcript.

  4. 4

    Share the transcript by email

If the customer wants the details, the Met shares the transcript only with the email that appears as a participant, with a 7 day expiry. The connected account must own the meeting or be an admin, and the admin must have turned this action on.

  5. 5

    Find the customer's channel

The Met lists the Fireflies channels and looks for the one your team uses for that customer, with the name you set in the skill. If it does not exist, it leaves the meeting where it is.

  6. 6

Leave the meeting in its channel

The Met moves the meeting into the customer's channel, so your team finds it next to the previous ones without searching. Like sharing, moving requires owning the meeting or being an admin and having the action on.

FAQ

Questions about this automation

Not to read the summary on WhatsApp: the Met writes it in the conversation. To open the shared transcript, they receive it in their email and open it in Fireflies.

No. This procedure replies with the summary in the chat and shares the transcript by email; the recording stays in Fireflies.

The Met searches from the date the customer gives and, if it finds several, asks which one by date and title before reading the summary.

Yes. Access expires after 7 days, and Fireflies has an action to remove it earlier, which starts turned off in Met and the admin turns on if needed.
