What it means for a lead to be qualified, and who should decide that

Which questions actually qualify a lead, how it gets routed to the right rep and what is recorded so the next qualification is better.

What does an agent need to ask in order to qualify a lead?

Only what changes what the rep will do. A lead is qualified once you know what they need, by when, with what budget and who decides; everything else can be asked later at no cost. The agent asks those questions in the conversation, leaves the answers structured, routes the case by the rule the business already has and records the outcome. What it does not do is decide that a lead is worthless: it flags what is missing and leaves it where the person who decides can see it.

“Qualified lead” is one of those phrases each team reads differently. For marketing it usually means they left their details. For sales, that it is worth calling them. And that gap is where both things get lost: the rep distrusts what arrives, and marketing cannot understand why nobody works it.

The test for whether a question qualifies

There is only one: does it change what the rep will do? If knowing the answer makes the call different, or sends the case to somebody else, or means there is no call at all, the question qualifies. If not, it is curiosity.

By that standard almost any business sorts itself out with four: what they need, by when, with what budget and who decides.

Structuring is half the work

A conversation is not a lead. What the rep needs is not to read twenty messages: it is to see the four answers together, with the conversation beside them in case they want the detail.

In the qualify-and-route recipe that step is deliberately separate from the previous one: first structure, then route by the rule the business already has, without anybody handing out cases by hand.

If there is no CRM yet

The floor is that it gets written down. Recording leads in a sheet is not elegant, and it is infinitely better than leaving them in the chat. Without a record there is no way to review whether the questions being asked are any good, and that review is the only thing that improves qualification over time.

When volume grows, sales over WhatsApp is where that stops being a sheet.

What the agent does not decide

That a lead is worthless. It is tempting to let it: it would save time. But a discarded lead does not come back, and the standard for discarding shifts with the month, with the stock and with how far away the target is.

The qualifying Met flags what is missing and leaves the case visible. Whoever decides keeps deciding, only now with the four answers in front of them.

Questions on this topic

The ones that do not change what the rep would do. A fifteen-field form over chat does not qualify better: it makes people quit halfway, and whoever quits halfway is usually the one in a hurry.

It gets handed over anyway, with whatever there is. A lead who declined to give a budget is still a lead; the one lost because the agent asked three times is not.

It works, though less well. The minimum is that the answers end up somewhere you can query; without that, the qualification is lost in the chat and nobody can review whether the questions are any good.
