How to quote on WhatsApp with information that actually fits the customer

How to quote on WhatsApp with current data: what to check first, when to create a formal quote and how to hand the case to sales without overpromising.

How can I quote on WhatsApp without sending the wrong price, stock or conditions?

To quote on WhatsApp without losing control, an agent needs to check the source that holds the applicable price, availability and conditions before replying. It can then create a formal quote where the integration allows it and hand the conversation to sales when a negotiation, discount or exception needs human approval.

A quote sent quickly with the wrong price does not speed up a sale. It creates a promise somebody will have to undo later. That is why quoting on WhatsApp does not begin by writing a message; it begins by checking where the deciding data lives.

Check before you promise

The basic order is to identify the customer, understand what they need and look up the applicable conditions. In the Alegra quoting recipe, the Met checks customer, prices and stock before creating the quote. That keeps chat from becoming a parallel list of numbers nobody can verify later.

The conversation does not replace the system. If the catalog is stale, a special list is not exposed or stock changed, the right response is to recognize the limit and hand the case over.

Formalize where the system allows it

With the Alegra integration, Meteor can create a quote and send the resulting PDF. That document keeps its origin in Alegra. Tax actions are not assumed: they require explicit approval and the process that applies to your operation.

Keeping “quote” separate from “invoice” avoids a common mistake. A quote communicates a proposal; an invoice carries different tax and commercial responsibilities.

If what you quote has to ship, freight follows the same rule

The cost of shipping obeys the same logic as the price of the product: it comes from the system that knows it, not from a hand-written table. In the TCC shipment quoting automation, the Met resolves the destination city, verifies the carrier actually delivers there and answers with the rate TCC returns, including billable weight and promised transit days. The product quote and the freight quote come out of the same conversation, each from its own source.

B2B answers can depend on more than one fact

When a sale needs available stock, list price, receivables or credit limit, the issue is more than making a quote. The B2B sales solution shows that case: SIESA is checked in read-only mode and a sales rep enters when a commercial decision needs a person. The ERP remains the system that confirms the data; WhatsApp is the channel that avoids going back and forth to ask for it.

The goal is that the customer receives a supported proposal and sales receives the facts needed to decide what automation should not decide alone.

From the connected system your operation declares as the source of truth. If that catalog or price list is not current, an agent cannot turn it into a reliable answer simply because it is in WhatsApp.

With Alegra it can create a formal quote and deliver its PDF in the conversation. The commercial document remains in Alegra; Meteor does not replace accounting or tax control.

When the customer requests an exception, negotiation, unpublished condition or credit decision. The agent leaves the facts gathered so the rep does not have to start the enquiry again.
